Privacy Policy

1. Information we collect

We may collect account information such as your name and email address; property information you choose to enter; issue descriptions, dates, warranty and maintenance information; evidence you upload such as photos, videos, receipts, and documents; AI observations and your approvals or edits; plan, subscription, purchase, and entitlement information; communications you send to us; and technical, security, and diagnostic information reasonably necessary to operate, secure, and troubleshoot the service.

Payment card numbers are entered through Stripe-hosted payment experiences rather than stored by HavenDossier. HavenDossier may receive payment-related identifiers, customer identifiers, subscription or payment status, transaction information, and other information needed to provide and administer purchased access.

2. How we use information

We use information to create and authenticate accounts; store and organize home records; provide evidence, reporting, and account features; perform AI analysis you request; administer subscriptions and purchases; send transactional and service-related messages; provide customer support; protect against fraud, abuse, and security threats; troubleshoot and maintain the service; comply with legal obligations; enforce applicable terms; and improve HavenDossier.

3. AI processing

When you request AI analysis, relevant submitted evidence and instructions may be transmitted to an AI service provider to generate the requested observation. AI processing is initiated for the feature you request. Avoid submitting personal or sensitive information that is unnecessary for the analysis. AI-generated output remains subject to your review, editing, and approval within HavenDossier and may be inaccurate or incomplete.

4. Service providers

HavenDossier uses service providers to operate the product, including Supabase for account, database, and storage infrastructure; Stripe for payment processing and billing; an AI service provider for requested AI analysis; Resend for transactional email; and other infrastructure, security, or hosting providers used to operate HavenDossier. These providers may process information as needed to perform their respective service functions and are subject to their applicable contractual and privacy obligations.

5. How information is disclosed

HavenDossier does not make your private Evidence Vault publicly available. Information may be disclosed to service providers as needed to operate HavenDossier; to recipients you choose when you download, print, send, or otherwise share a report or other record; to comply with applicable law, legal process, or lawful requests; to investigate fraud, abuse, or security incidents; to protect the rights, safety, and security of users, HavenDossier, or others; or in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable law.

Once you download or share a report or other information outside HavenDossier, the recipient's storage, use, or further disclosure of that copy may be outside HavenDossier's control.

6. Data security

HavenDossier uses administrative and technical safeguards intended to protect user information, including account authentication, access controls, private evidence storage design, and security measures appropriate to the service. No internet service, transmission method, or storage system can guarantee absolute security. You are responsible for keeping your password confidential and maintaining control of the email account associated with your HavenDossier account.

7. Retention and deletion

We retain information for as long as reasonably necessary to provide and maintain the service, administer transactions and entitlements, protect security, prevent fraud and abuse, resolve disputes, enforce agreements, and meet legal obligations.

You may request deletion of your HavenDossier account and applicable personal information by emailing support@havendossier.com. We may take reasonable steps to verify that a deletion request relates to the account or information of the person making the request. Certain information may be retained where reasonably necessary or permitted by law, including transaction records, security and fraud-prevention records, records needed to resolve disputes or enforce agreements, and information maintained temporarily in backup or disaster-recovery systems.

8. Your choices and privacy rights

You control what property, issue, and evidence information you choose to submit, subject to information required to maintain your account or provide a requested feature. Depending on where you live, applicable privacy law may provide rights concerning access, correction, deletion, or other information about the processing of personal information. To submit a privacy request, contact support@havendossier.com. We may verify your identity or authority before completing a request and will respond as required by applicable law.

9. Children's privacy

HavenDossier is intended for adults managing home and property records and is not directed to children under 13. A person must be at least 18 years old to create a HavenDossier account. Do not intentionally submit a child's personal information unless it is reasonably necessary for a lawful purpose and you are authorized to provide it.

10. Changes to this policy

We may update this Privacy Policy as HavenDossier, our practices, or legal requirements evolve. The effective date above identifies the current version. Material changes will be communicated when required by applicable law.
