Privacy Policy

1. Information we collect

We may collect account information such as your email address and profile name; property information you choose to enter; issue descriptions, dates, warranty and maintenance information; evidence you upload such as photos, videos, receipts, and documents; AI observations and your approvals or edits; plan and entitlement information; and technical information needed to operate, secure, and troubleshoot the service.

Payment card numbers are entered through Stripe-hosted payment experiences rather than stored by HavenDossier. HavenDossier may receive payment-related identifiers, plan, status, and transaction information needed to provide purchased access.

2. How we use information

We use information to authenticate accounts, store and organize home records, provide evidence and reporting features, perform requested AI analysis, administer plans and purchases, send transactional messages, protect the service, troubleshoot problems, comply with legal obligations, and improve HavenDossier.

3. AI processing

When you request AI analysis, relevant submitted evidence and instructions may be transmitted to an AI service provider to generate the requested observation. Do not submit information that is unnecessary for the analysis. AI output remains subject to your review and approval within HavenDossier.

4. Service providers

HavenDossier uses service providers to operate the product, including Supabase for account/database/storage infrastructure, Stripe for payment processing and billing, an AI service provider for requested AI analysis, and Resend for transactional email. These providers process information for their respective service functions under their own contractual and privacy terms.

5. How information is shared

We do not make your private evidence vault publicly available. Information may be shared with service providers as needed to operate HavenDossier; with recipients you choose when you download, print, or share a report; to comply with lawful requests or protect rights and safety; or in connection with a business transaction such as a merger or acquisition, subject to applicable law.

HavenDossier does not need to sell homeowner evidence to provide the service. If our data practices materially change, this policy will be updated before the changed practice is applied where required by law.

6. Data security

HavenDossier uses account authentication, access controls, private storage design, and other technical measures intended to protect user information. No internet service can guarantee absolute security. Keep your password private and use an email account you control.

7. Retention and deletion

We retain information for as long as reasonably necessary to provide the service, maintain records of transactions and entitlements, protect security, resolve disputes, and meet legal obligations. Production account-deletion and data-deletion request procedures will be published before public launch.

8. Your choices and privacy rights

You can review certain account information within HavenDossier and can choose what property and evidence information to upload. Depending on where you live, applicable law may provide rights to access, correct, delete, or obtain information about certain processing. HavenDossier will provide a production privacy contact method before public launch for eligible requests.

9. Children's privacy

HavenDossier is intended for homeowners and other adults managing home records and is not directed to children under 13. Do not create an account for a child or intentionally submit a child's personal information unless it is necessary, lawful, and you are authorized to do so.

10. Changes to this policy

We may update this Privacy Policy as the service and legal requirements evolve. The effective date above identifies the current version. Material changes will be communicated as required by applicable law.
